DEDCC meeting minutes for Friday, October 12, 2007
Attendees: Janet Ewing (chair), Marilyn Billings, Rebecca Henning, Anne Moore, Mary Stettner
1) Agenda Review
• minutes-taker = Rebecca
2) FCLC update – nothing to report
3) Syndetics question
• Anne has talked to Peder about a refund or substitution for the awards feature that is not functioning correctly.
o Of the top 2 substitution choices, “find similar” will not work for the same reasons as the awards feature.
o Janet will talk to RIO about whether we would want the Spanish feature, if there is a chance it would be taken away later.
o Anne will check again about whether the feature works at any Aleph site.
4) ALEPH improvements
• Janet will relay Susan Dayall’s email regarding upgrading to a new service pack on test. Our committee has no specific functional area to test, but we will search for syndetics features on Test to see if there are any problems.
5) DEDCC Program
• Status and updates:
o Currently 150 registrants; estimate 250 total for chair count.
o Marilyn has reserved the PA system; their systems folks will help with setup; check with the speakers to see which version of powerpoint or other software they will need.
o Planning to reserve 1 wireless microphone for audience questions, one lapel pin microphone, and one table-top microphone.
o The set up of the stage, podium, and seating were discussed; Marilyn volunteered to test the equipment before the conference.
o Speakers’ travel arrangements are all set.
o We will provide lunch for the speakers on Wednesday.
o Leave welcome packets in speakers’ rooms?
o Rebecca volunteered to be available as a “runner” if the speakers need anything (since some of them will not have cars).
o Budget is on track so far; Janet and Marilyn will figure out coffee break snacks; we would still like to offer an honorarium but will wait to see the catering cost.
o We will ask Jay Schaffer to say a few opening words of welcome. If Jay is unavailable or prefers not to, we will ask Chris Loring. Depending on which director accepts, either Janet or Anne will do introductions and moderating.
6) Future plans
• At our next meeting we will talk about possibly organizing a brown bag session for conference reports, in January. The recent information sharing session that RIO held was very successful, so something along those lines could be good.
