Meeting Notes

DEDCC minutes, August 28, 2007

Present: Sika Berger, Marilyn Billings, Janet Ewing, Rebecca Henning, Chris Loring, Anne C Moore

Update from FCLC: They didn’t really discuss the program proposal on Next Generation Catalogs, agreeing with the proposal but concerned about the funding. If possible funding sources fall through, we’ll have to go back to them about funding.

Funding discussion:
ACRL New England – Anne C will follow up again. Sika will check for original email announcement.
Community Funding of Western Massachusetts – This is out.
NERCOMP – Their Board is meeting this week and will consider our proposal.
NITLE – The timing isn’t right for obtaining funding. We would have to move the program if we wanted to apply to NITLE, and still we wouldn’t be assured of funding. Also their focus is different, instructional technology. This program would be a stretch.

Are there other options that we haven’t considered?

Costs:
Speaker expenses, including travel, hotel, and miscellaneous.
Refreshments and incidentals.
We are committed to hosting a regional program, not just Five Colleges, so charging attendees beyond the Five Colleges could bring in some revenue.

Topics to include in program:
General introduction with someone like David Lindahl, whom Marilyn has contacted but not yet heard back.
WorldCatLocal is a given.
AquaBrowser – What Bowker is doing in the development of AquaBrowser for academic libraries is very interesting. Anne C mentioned that the vendor rep is willing to do a web presentation for the committee before the program. She will follow up on this. She already has someone from Oklahoma State willing to come speak at our program.
Primo – too early in its development.

Date discussion:
If we moved the program to January, there’d be more options for large space, not competing with classes, and more librarians would be free to attend. The negative aspect is the weather. We decided to stick with November.

Locations:
The GoogleScholar program had about 150 people so we need to find a place that can hold at least that many people.

Assignment: Each of us will look for large spaces that would be available Nov 6, 7, 8 or possibly the next week, for 12-5. Also check to be sure that there is a place nearby to have a coffee break. Report back to DEDCC via email about possibilities.

Speakers:
Mary - check with Washington for WorldCatLocal speaker
Anne – check back with Oklahoma State person to confirm
Marilyn – check back with David Lindahl at University of Rochester about being introductory speaker. If he’s not available, the next option to check is Eric Lease Morgan at Notre Dame.

Program schedule:
1 pm start; 10 minute introduction
1:10 – 2 Introductory speaker and Q&A
2 – 2:20 Break
2:20 – 3:10 WorldCatLocal speaker from Washington
3:10 – 4 AquaBrowser speaker from Oklahoma State
There would be additional time at the end for further informal discussion.

Other details:
Sika is willing to create a program website.
Rebecca is willing to work on how to charge folks from outside Five Colleges if we need to do this using experience as treasurer of PVAAL.
Future planning: Advertising and Flyers; Circle back to funding issue and need to charge a reasonable fee to those outside Five Colleges to help cover costs.

Future meetings, probably at Five Colleges:
Sept 21, 1:30-3
Oct 12, 9-10:30
(other small group meetings for program during October)
Nov 16, 10:30-noon
