DEDCC 04/07/03 meeting at Five Colleges—notes

Present: S. Berger, C. Loring, J. Schafer, S. Willen Brown, R. Fonfa, M. Billings, J. Jourdain

We reviewed the pending III enhancements that are due for implementation at the end of the semester, as well as those being implemented now.

• Autoverification: discussion is ongoing within the Circ and RIO committees.
• Links from location labels to "where is it" guides on library web sites (see example at http://fclibr.library.umass.edu/search/t?SEARCH=from+delacroix+to+cezanne): This seems to be going well with the Smith locations.
• Catalog enhancements: Waiting for feedback from Cataloging and RIO.

Five Colleges is still in the process of updating their websites. In the interim, we want to verify membership of the various Five College committees so that posted information will be current and accurate.

We’re going to start organizing a possible workshop on XML for sometime in mid-summer, open to all interested Five Colleges library staff.

We agreed to keep on eye on OnionPatch for latest ideas about next-generation catalogs. This is something the Cataloging Committee may wish to monitor.

We agreed to that we don’t want to lose momentum in the search for a new ILS and asked Chris to convey that to the FCLC at their next meeting.

We discussed problem reporting for TDNet. Since Ser/Acq assumed responsibility for TDNet some months ago, each institution’s Ser/Acq representative has responsibility for contacting TDNet directly in the event of service problems. There is no central contact for problem reporting on behalf of all Five Colleges.

We discussed the RFB and demos for open linking and/or federated searching at length.

• Emails to all the vendors advising them that an RFB would be issued soon and inviting them to demos on April 13, 23, and May 1 were sent earlier on 04/07/03. Phone calls will follow up the emails on 04/08/03.
• We will ask representatives from the various committees to give us their comments on the vendor demos, including any red flags they spot that might impede implementation of particular products.
• We’ll send an invitation to all librarians (and IT people) who are interested in the vendor demos soon.
• We’ll maintain an online demo schedule that can be easily updated and refer invitees to it.
• We’ll make the final version of the RFB available in protected web space for anyone from the libraries to view, if they’re interested.
• We’ll compile demo feedback and use it in combination with our evaluation of actual bids in order to prepare a recommendation for the FCLC.

We discussed ideas for a criteria matrix we can use for evaluating the various bids and vendors.
