DEDCC 07/28/03 meeting at Five Colleges — notes

In light of the upcoming ILS selection process, we agreed that it’s best to reschedule the XML workshop we were considering hosting in January 2004 to November 2003. Our thinking is that XML is a topic of interest to many librarians in Five Colleges and is becoming a cornerstone of many library applications, including some ILSs, so more understanding of it would be helpful to everyone involved in the ILS selection process.

We agreed to remind our colleagues on the other library committees that there will be web space available to them as part of the redesigned Five College website. The committees may wish to use this centralized location for posting their meeting notes and important committee documents as well as other relevant materials of interest to all Five College library staff members.

We reviewed Stephanie’s draft of our annual report to the FCLC; a slightly revised version will be circulated among the committee for further review soon.

Sika, Julie, and Jan reported that the SFX training on July 21 and 22 was very successful. The implementation process is extremely tedious because of the amount of configuration required, but it is not particularly difficult work. The implementation is progressing well and hopes are high to have a majority of our services linked early in the fall semester.

We discussed a possible timetable for MetaLib implementation. We agreed that with the ongoing SFX work and the upcoming ILS selection work, it doesn’t make sense to over-extend people by expecting them to implement MetaLib this fall, as originally considered. Rather, it may make more sense to aim for MetaLib implementation late next spring or early next summer.

Given that the ILS selection process will be intense and involve some of DEDCC's members, FCLC feels that DEDCC needs to scale back our activities during the staff intensive phase. DEDCC will draft a work plan for the year that takes this into account. DEDCC hopes that throughout the ILS selection process it will be able to contribute, as asked, its expertise regarding new and developing facets of ILSystems.

We understand that Five Colleges, Inc. plans to have their redesigned website available for fall. It may be useful to provide links to centralized library information there (directory, hours and help links), and RIO may wish to revise or expand this page. Sika has prepared a basic page to be put up on the Five College website; DEDCC will ask RIO to review the content.

The subject of maintaining our TDNet service in addition to the SFX A-Z journal list came up during the SFX training last week. While local promotion of TDNet may remain a local issue, as it has been for the past year, prominence of it on the opening pages of the catalogs is an appropriate question for RIO to consider. It may be necessary for RIO and local reference departments to consult Ser/Acq or local serials and/or acquisitions staff members before making a decision to replace TDNet with SFX at this time, since the serials and acquisitions people who maintain the data in both and know it best.

We may invite Donna Baron from Five Colleges to join us at a meeting in the fall to give us an update on current Five College IT projects and plans that have a bearing on the libraries.
