DEDCC 05/13/05 meeting at Smith College - notes

Present: C. Loring, J. Ewing, M. Billings, L. Button, S. Brown, S. Berger, J. Jourdain

1. After discussion of reasonable term of service as Chair of the Committee, we concluded that two years makes the most sense. Likewise, we discussed a variety of rotation schemes for serving in that position and agreed that it should be on the basis of alphabetically by institution. Two members volunteered to serve as next Chair, starting July 2005. By consensus, J. Ewing will be next chair, as Mount Holyoke is alphabetically after Hampshire (current Chair S. Brown’s home institution).

2. We set the following dates for upcoming meetings: Friday, June 17 and Friday, July 8, both 9AM at Five Colleges.

3. C. Loring reported that the FCLC had discussed our recent memo to them regarding Digital Object Management (DOM) at their most recent meeting. FCLC has asked DEDCC to organize a cross-campus, cross-functional discussion of the need for and potential options for DOM within Five Colleges. We brainstormed briefly about options for such a discussion and came up with several potentially fruitful possibilities. We agreed to have a sub-committee (S. Berger [facilitator], S. Brown, and M. Billings) develop a more comprehensive proposal for discussion at our next meeting.

4. We discussed the recent testing to date of the Five Colleges Libraries listserv (FCLIB-l) set up on Amherst’s listserver. The intent of the listserv is to provide a vehicle for quickly, efficiently distributing information uniformly to all staff members at all the libraries simultaneously. We agreed to fine-tune the list’s configuration (J. Jourdain to implement). S. Brown has drafted a welcome message to the list; all Committee members should send her comments on the draft in the next few days.

5. S. Brown and J. Ewing attended training on the Five Colleges website earlier in the week. The FCLC has asked that all library committees populate their sites by the end of June. S. Brown will take responsibility for DEDCC’s. S. Brown will also organize a “work” session for those responsible for other committees’ sites so that they can help each other enter data. J. Jourdain is meeting May 17 with Donna Baron and Robyn Cutler at Five Colleges to talk about possibilities for restricted file space for all the committee meeting notes. While we want those to be accessible to library staff members, we don’t want them accessible to anyone outside Five Colleges.

6. All agreed that the May 6 brown bag on FRBR was a big success. We’ll think about ways we might be able to keep information about past sessions on the DEDCC site, for future reference.

7. We will begin work on our annual report at our next meeting.
