Minutes June 5, 2006

Present: Bonnie Vigeland (chair), Bryan Goodwin, Margaret Groesbeck (recorder), Beth Lang, Barbara Polowy,

Absent: Sherre Harrington

Bonnie Vigeland met with the Aleph Implementation Committee (AIC) to go over the choices for vocabulary, arrangements, etc., for the public interface. (see below) About 6 months after the public introduction of the interface, RIO should start to review displays, arrangements, and vocabulary. The current timetable has precluded the possibility of doing usability testing after Slate Roof’s design has been introduced, and so the Aleph public catalog will be up and running before RIO can test out public reactions and use.

As of Friday, June 2, Slate Roof had not delivered the code for the public interface to UMass.

Aleph Public Interface

“More”: Bonnie’s outline of the choices for “More” represents basic consortium-wide selections. Each ADM will be able to add more links to its own page.

Above the basic list of choices, there should be a line that reads: “ Search the Five Colleges catalog for:

“Reserves”: The “Reserves” module for each ADM will vary somewhat. The Circulation Committee is establishing the search interface for “Reserves”.

“New Titles”: RIO all agree to define “new” as additions to database in the last month. In addition to already established limits for “New” materials, Bonnie will let AIC know that RIO wants to add “browse by call number”.

“Display”: RIO members all agree that the “collections” will be indented under the sub-libraries/locations.

“My Account”: The Circulation Committee has not established the information that will be included on this page. RIO will consult on vocabulary.

“Help”: RIO looked at “help” in Notre Dame catalog and like the pull-down FAQ. They will consider doing such an FAQ later.

“Help” for current catalog should open in new _-screen window.

Context sensitive help is first priority. (Bonnie later established that Jan wants all “Help” by 6/15.) No more than 4 examples for each search in Basic Search should be included. Bonnie will edit all “Help” to make sure that diction and organization match.

There are 9 search options in Basic Search. Context sensitive help has been assigned:

Amherst: Keywords anywhere
Title begins with

Mount Holyoke: Title keyword
Journal title

Smith: Author (last name first)
Author keyword

UMass Subjects begins with
Subject keyword

Hampshire: Call number begins with

RIO would like to use “Help” written by the University of Maryland libraries as a model for Five Colleges “Help”. Bonnie will email the University of Maryland and ask permission to copy their format (and sometimes, perhaps, wording). Because there is no final “live” interface to work with while writing help screens, RIO all agreed to keep the text as simple as possible. There will be an opportunity to elaborate later

Next RIO meetings:

Monday, July 24 9 am

Thursday, August 17 9 am – general meeting of reference librarians to discuss plans for introducing the new catalog interface to users. Bonnie will check out whether RIO can hold meeting at 5 Colleges, Inc. If computer and projection are not available there, the meeting will be at Hampshire.
